About the Company
The Pirogov First Volunteer Mobile Hospital (PDMSh) is the largest non-governmental initiative involving civilian medics in providing medical care in combat zones across Ukraine. Since its inception in 2014, PDMSh has been dedicated to rescuing the wounded and sick in frontline cities and villages in Donbas, tirelessly working wherever help is needed.
From the outset of the current full-scale Russian invasion, PDMSh has deployed teams in Kyiv and other cities, utilizing its medics and resources to combat the occupiers and treat injured Ukrainian defenders and civilians. Currently, PDMSh stabilization points and medical teams are active in the Donetsk region. Over the past decade, PDMSh has evolved from a group of brave volunteers into a legendary symbol of the Russian-Ukrainian war.
Implementation Background
With the onset of the full-scale war in Ukraine, PDMSh recognized the urgent need for a comprehensive and effective resource management system to meet the increasing demand for enhanced medical care. Managing the medicines, equipment, and tactical resources used in combat conditions was a significant challenge. The absence of a centralized inventory management system complicated supply control, tracking expiration dates for medicines, and ensuring the availability of necessary resources at the front lines.
Implemented Solution
OntargIT developed and implemented a robust enterprise resource planning (ERP) system for PDMSh, based on Microsoft Dynamics 365. This system addressed critical resource accounting and management challenges:
1. Automation of Warehouse Operations: One key achievement was adapting the system for warehouse operations. Storekeepers now use tablets and handheld barcode scanners to take inventory by scanning unique manufacturer barcodes and custom labels. This streamlines the record-keeping of medical supplies and equipment, enabling quick and accurate generation of product lists for delivery.
2. Real-Time Resource Management: The system allows tracking of each resource unit in relation to a mission, vehicle, or medical team using the resources. For instance, each batch of medicines or equipment can be linked to a specific vehicle or medical group, facilitating quick checks of availability and location. This greatly simplifies team rotations and equipment transfers between vehicles or warehouses.
3. Tracking Movement Between Vehicles: The ERP system maintains accurate records of equipment and medicines transferred between vehicles. When resources are moved, the system automatically logs serial numbers, barcodes, or other identification data, enabling tracking at all stages of movement. This significantly reduces the risk of loss and errors during transfers.
4. Medicines Stocktaking: The ERP system enables tracking of medicine batches and monitoring expiration dates and storage conditions. By scanning barcodes, the system automatically adds medicines to inventory baskets, enhancing inventory management efficiency.
5. Medical Equipment Management: The system records serial numbers and components for each medical device, allowing for quick assessments of equipment condition and its location. This ensures easy verification of equipment availability for specific vehicles or medical teams.
6. Tactical Resources Management: Each item of tactical gear, from body armor to clothing, is tracked by size, condition (new or used), and protection level. This facilitates the prompt provision of necessary resources to military and medical personnel.
7. Integration with Charitable Initiatives: The system is integrated with volunteer projects, enabling PDMSh to better coordinate humanitarian aid received and transparently track its usage.
Results
The OntargIT team tailored the ERP system to meet PDMSh's specific operational needs, ensuring continuous record-keeping of medicines, equipment, and tactical resources. The use of portable devices such as tablets, barcode scanners, and thermal label printers has automated warehouse operations. Moreover, the ability to record resource movements by vehicles, teams, or missions allows for effective real-time tracking both in the warehouse and on the front lines.
The implementation of the ERP system has not only automated resource accounting for PDMSh but also enhanced transparency and manageability of operations. By adapting the system to complex logistics conditions and integrating it with volunteer projects, PDMSh can operate more effectively in wartime conditions and ensure more accurate resource allocation, while optimizing its activities and providing medical care at the front with minimal loss of resources and time.
